The History Purge program allows you to delete historical data linked to file management records in your database (i.e. enrollment records, pass memberships records, rental history records, etc.). This program is used to clear historical data only. It does not delete the file management records, themselves, from RecTrac. Once you've purged the history records, you can delete the file management records from their module management DataGrids, if you choose (For Example: After you purge enrollment history, you can go to Activity Management and delete the Activity and its Sections, if you want to.).
Employ EXTREME CAUTION when running this program! We cannot stress this enough! Purged records are completely deleted from your database. They cannot be recovered without restoring your database from a backup.
VSI strongly urges you to create a backup of your database - and validate it - prior to running this program.
This program builds the screen dynamically based on the modules you select (Activity, Pass, League, etc.). For every module that is selected, a group with filters specific to that module is added to the screen. The module-specific filters are used to select the item history that will be purged. An audit log is created. The Notification Center alerts you when the purge is complete and tells you how many records were purged during the process.

To Run the History Purge Program
- Make a backup of your RecTrac database. Purged records are completely deleted from your database and cannot be recovered without restoring your database from a backup. In the event you purge more records than intended, a current backup will allow you to recover them with little loss of valid data.
- Select the Module(s) for which you want to purge records. The system will build the screen dynamically based on the modules you select
- Enter a range of dates.
- Select a Purge Orphan History option. Orphan records are those without a matching history record in the selected module. For Example: A roster history record without a matching Activity or Section, a Pass Visit history record without a matching Pass Code, a Rental history record without a matching Rental Item, etc.
- Determine whether you want to Skip records with an outstanding balance.
- Make your selections in the Module groups. The Module groups that appear are based on the selections you made in Step 2 above.
- When ready, click Purge History and answer the challenge message. The process runs on the AppServer. You will be notified when it completes. Be patient. Depending on your date range and other filters, this process could take some time to complete.

Click Default Settings to reset the screen parameters. Vermont Systems recommends clicking Default Settings whenever a program or report doesn't produce the expected results. Resetting a program to its default settings removes any unseen spaces and/or bad data in the fields.

Modules (HistoryPurge_PurgeModules)
Select the module(s) for which you wish to purge records. This program is designed to build the screen dynamically based on the modules you select (Activity, Pass, League, etc.). For every module that is selected, a group with filters specific to that module is added to the screen.
When you Process this program, it will delete any SADetail records for the modules selected. The purge deletes the SADetail records as well as any linked SAFee records, SAFeeHistory records, SAAnswer records, and any applicable SABillingHistory records.

Purge Start Date (HistoryPurge_PurgeStartDate)
Enter a Purge Start and End Date in their respective fields. These are Mandatory fields for the default VSI RecTrac Design. Your Design and setup may vary. Any SADetail records found for the modules selected within the date range entered here will be deleted.
The date range you select should be determined by your Department's policy for keeping historical data but VSI recommends keeping at least three (3) years of historical data.
DeletePurge End Date (HistoryPurge_PurgeEndDate)
Enter a Purge Start and End Date in their respective fields. These are Mandatory fields for the default VSI RecTrac Design. Your Design and setup may vary. Any SADetail records found for the modules selected within the date range entered here will be deleted.

DeletePurge Orphan History? (HistoryPurge_Orphans)
Select a Purge Orphan History option. Orphan records are those without a matching history record in the selected module. For Example: A roster history record without a matching Activity or Section, a Pass Visit history record without a matching Pass Code, a Rental history record without a matching Rental Item, etc.
- Don't Delete Orphans - The purge process will skip any orphan records found.
- Delete Orphans - The purge process will delete all applicable records within the date range, regardless of whether those records are orphans.
- Delete Only Orphans - The purge process will delete ONLY orphan records. Non-orphaned records found within date range will be skipped.
Skip records with an outstanding balance? (HistoryPurge_SkipBalance)
Select this option to skip any records with an outstanding balance when running the purge process. This is a good option if your department attempts to collect on all outstanding balances regardless of the days/years past due.
De-select this option to include records with an outstanding balance in the purge. In this event, the balance will simply be erased. There will be no offsetting payment record created anywhere within the system.
