The League Update Core screen allows you to add a new or update an existing League. The fields on this screen and the subsequent Tabs (Fees, Rules, Questions, etc...) allow you to update information pertinent to your League.

Note: Field names on the screen with red labels* are required by the screen design you are using. Mandatory fields in the default Vermont Systems design are noted where appropriate. Your design and mandatory fields may vary.
From the bottom of the screen...
Click Save to save your changes. You will return to the League Management DataGrid.
Click Cancel to return to the League Management DataGrid without saving your changes.
Click Previous or Next to continue to the next tab on this screen (i.e. If you are on the Core screen, click Next to continue to the Fees screen.).
Core
Site Code (LSLeague_SiteCode)
When Enterprise Site Management is enabled on your License profile this field is mandatory.
Select the Site Code for this item. Sites are business segments within an enterprise organization. Associating a Site with items allows for reporting on item availability and transaction history by business segment.
Site records are maintained in Site Management .
DeleteSite Area (LSLeague_SiteArea)
You will not visit this field.
This field displays the Site Area for the Site linked to this item. The Site Area on the item is updated automatically when a Site Code is linked to an item or if the Site Code is changed.
Site Areas are maintained in System Code Management. Type = Site Area. They are linked to Sites in Site Management .DeleteSite Category (LSLeague_SiteCategory)
You will not visit this field.
This field displays the Site Category for the Site linked to this item. The Site Category on the item is updated automatically when a Site Code is linked to an item or if the Site Code is changed.
Site Category Codes are maintained in System Code Management. Type = Site Category. They are linked to Sites in Site Management .
DeleteLeague Code (LSLEAGUE_LeagueCode)
Enter your League Code in this field. Codes may be alpha and/or numeric. This is a mandatory field for the default Vermont Systems design. Your design and setup may vary.
If you are updating an existing League you will not visit this field.
DeleteStatus (LSLEAGUE_RecordStatus)
Click the Drop-down List icon to select the status of your League:
- Active
- Inactive
- Default - See below for a description
- Deleted - See below for a description
Default Status
Default" status allows you to create exact-copy records upon clicking the Add button from the File Management DataGrid for this module and selecting one of existing Default Options (provided at least one exists). This creates an exact copy of the "Default" record with exception that the copy's Record Status is Active instead of Default. This allows you to save substantial time when adding new records to your database since all settings on all panels (Core Settings Additional Settings etc.) and tabs (Core Fees* Rules* Questions Comments etc.) will be copied from the default record.
"Default" status records to do not show up in Daily Processing DataGrids. You cannot register for reserve or purchase a "default" record. They exist for the purpose of being copied only. If at any time you change the status of a default record to "Active" or "Inactive it will become a regular record" in your database and thus appear in Daily Processing DataGrids.
Options for adding default records are maintained on the Permissions profile Default Record Permissions Group.
* Separate default records for fees and rules can be created as well in their respective File Management program. Permissions must be set to add a Default Record and once added the default record can be linked as needed to any module.
DeletePermissions (LSLEAGUE_Permissions)
Click the Combo Box icon to select the Permissions code(s) you want to apply to this League.
Permissions allow you to control which users can view, add, modify, and/or delete records on browsers and picklists, etc. These are called Access Rights and they are maintained on the Table Permissions tab of the Permissions profile
Note: You can leave this field blank if desired. When this field is blank the system skips the Permissions check for this record. In that event all users will have access to this record provided their Access Rights for the module allow for it.
Name (LSLeague_LongDescription)
Enter the Name for this League. DataGrids in RecTrac can be sorted by Name (aka: Long Descripton), if desired.
This field will accept up to 100 alpha-numeric characters.
DeleteShort Description (LSLeague_ShortDescription)
Enter the Short Description for this League. The Short Description appears on reports, receipts, etc....
DataGrids in RecTrac can be sorted by Description, if desired.
This field will accept up to 30 alpha-numeric characters.
DeleteSchedule Type (LSLeague_ScheduleType)
Expand the Drop-down list to select the appropriate Schedule Type for this League:
- Regular Season - The Schedule you generate will be for the regular season.
- Single Elimination - The schedule you generate will be for a single elimination/knock out style tournament resulting in a single champion determined by which team never loses.
- Double Elimination - The schedule you generate will be for a double elimination style tournament with a loser's bracket" resulting in a single champion determined by the winner of the "Winner's Bracket vs. Loser's Bracket" final match.
Type (LSLEAGUE_TypeCode)
Click the Picklist icon to select the Type Code for this League, if desired.
Every module contains fields for Types, Subtypes, and Categories. These should be used to group like items together on the DataGrid and reports. Fees, rules, and questions can be linked at the type, subtype, and category level in all RecTrac modules. Type, subtype, and categories are also reportable fields and are maintained in System Code Maintenance.
Note: SubType codes are maintained within the Type code to which they belong.
For example your Activity Type is "Yoga" and within the Yoga Type System Code on the SubType Tab you have SubType Codes for "Acro Yoga Bikram Yoga Hatha Yoga Hot Yoga and Power Yoga."
To add SubTypes using the example above you would:
- Go to System Code Management.
- Find your Yoga Activity Type System Code.
- Click Change.
- Click the SubType
- Click Add and enter the first SubType Code such as "Acro Yoga" and click Save.
- Repeat Step 5 for all additional SubType Codes.
The steps above use the Activity Module as an example only. The process works the same way regardless of the RecTrac module so if you were working with pass codes then in Step 2 above you would select the System Code you created for your pass type; if you were working with Facilities then in Step 2 you would select the System Code you created for your facility type etc.

Season (LSLEAGUE_Season)
Click the Picklist icon to select the appropriate Season Code for this League. The value in this field (along with the year) is stored on any registration, league visit, miscellaneous posting, referee payment, or refund records that are created.
VSI recommends being as accurate as possible when selecting Season Codes for your Leagues, as the processes of Archiving Leagues, Recovering Leagues, and Purging Leagues is dependent on a Season Code and Year.
Note: When a League is archived the record is coded as the League Code + Year + Season. When an League is archived the system creates a exact copy for each League with "next year" in the Year field so if you archive a league that with a Season and Year of Fall 20xx the new League will have the same League Code and Season Code; and the Year will 20xy.

DeleteYear (LSLEAGUE_Year)
Enter the Year stamp for this League.

DeleteReport Tag (LSLEAGUE_ReportTag)
Click the Picklist icon to select the Report Tag you wish to use for this League, if desired.
Report Tags offer a method of categorizing like items within a module for internal reporting purposes in the event you are using Types, SubTypes, and Categories as means for your patrons to perform WebTrac searches and you require different criteria for your reports.
For example, within your department, you have a number of facility types (ball field, pavilion, court, etc.), subtypes (football, softball, soccer), and categories (indoor, outdoor). Patrons search for facilities using these criteria. You also have a number of maintenance districts throughout your city and your facilities are spread across these districts. Reporting by maintenance district is a likely necessity, but the particular categorization ('Maint Dist')is not a useful search tool for patrons looking for a certain facility type. Using 'Maint Dist' as a Report Tag would allow your staff to run reports by maintenance district without compromising WebTrac search capabilities for your patrons.
Report Tags are maintained in System Code Maintenance Code Type = Report Tag.
Note: You can link up to three (3) Report Tags per item. Custom Screen Design is needed. Report Tag 2 and Report Tag 3 must be changed from "Hidden" to "Updateable."
Master Schedule (LSLEAGUE_MasterSchedule)
Click the Picklist icon to select appropriate Master Schedule ID, if desired. This code allows you to print a master schedule for all league and games with the same master schedule System Code.
For Example: You have multiple basketball leagues set up in your system that run concurrently. To print a master schedule for all basketball leagues and games, you would link the same Master Schedule ID in this field to each league. When printing the schedule, all games for all leagues would be listed.
System Codes are maintained in System Code Maintenance. Code Type =League Master Schedule.
Note: Master Schedule codes are also used on the WebTrac League Listing screen so customers can search for leagues by type/category
League Games (LSLEAGUE_LeagueGames)
Enter the number of scheduled games each team will play during the season. This value is for league games only. Do not include practice games (if any) in this count.
For Example: Each team in your league has 12 regular season games and two practice (or pre-season) games for a total for 14 games. You would enter '12' in this field.
DeletePractice Games (LSLEAGUE_PracticeGames)
Enter the number of practice games (aka: pre-season games) each team will play. This field is for practice games only. Do not include score-able regular season" games in this count.
For Example: Each team in your league has 12 regular season games and two practice (or pre-season) games for a total for 14 games. You would enter '2' in this field.
DeleteGame Minutes (LSLEAGUE_GameMinutes)
Enter the estimated number of minutes that you schedule per game for this league. This value, along with the Setup Minutes, if any, (Miscellaneous Settings panel) will be used when determining the amount of time required for facility reservations for your League.
DeleteMax Players (LSLEAGUE_MaxPlayers)
Enter the maximum number of players allowed per Team for this League.
DeleteRegistered Teams (LSLEAGUE_RegisteredTeams)
You will not visit this field.
This field displays the number of teams currently registered for this League.
DeleteWaitlist Max Count (LSLEAGUE_WaitlistmaxCount)
Enter the maximum number of teams that are allowed to be added to the Waitlist for this league.
OR
Enter '0' if you do not use a waitlist.
Waitlist Count (LSLeague_WaitlistCount)
You will not visit this field.
This field displays the number of teams currently on the waitlist for this League.
DeleteCount Scores Separately? (LSLEAGUE_CountScoresSeparately)
Select this option to count each game score entered as its own game when posting scores for your league. This option comes into effect if your teams play sets" or "matches" at each meeting (multiple games between the same two teams in one meeting) and you want each game to count as its own entity in the standings (i.e. each game won in the set counts as one (1) win in the League standings).
Leave this option disabled if you want the overall outcome of the "set" or "match" to count as one (1) win only in the League standings.
For Example: Teams play three (3) games when they meet on a League night. You post all scores for match. Team A plays Team B. The scores are as follows:
- Game 1: Team A 9 Team B 6
- Game 2: Team A 3 Team B 4
- Game 3: Team A 4 Team B 6
Based on these results:
With this option enabled Team A would be scored with one (1) win and two (2) losses in the Win/Lost standing after posting scores because each game played counts as a single game and Team A won the first game only. Team B would be scored with two (2) wins (Games 2 and 3) and one (1) loss (Game 1) in the Won/Lost standings.
With this option disabled the effective result would be a "Best Two-of-Three" format. Team B would have one (1) win and 0 losses in the Won/Lost standings and Team A would have one (1) loss and 0 wins after posting these scores because Team B won two of the three games in this match.
DeleteWaiver Code (LSLEAGUE_WaiverCode)
Click the Picklist icon to select the Waiver for this League if desired.
The Waiver Letter that you select can be printed along with the receipt when a locker is rented, renewed or returned. Waivers also be can linked to Households or individual Family Members, if desired.
Waiver letters are managed in Letter Group Management. Code Type = Locker Waiver.

DeleteWaiver Option (LSLEAGUE_WaiverOption)
Expand the Drop-down list to select the Waiver Option you would like to use:
- One Per Team - the system will print one waiver only at the time of team registration.
- Prompt For Count - the system will allow you to specify the number of waivers that will print at the time of the team registration.
- One Per Player - the system will print one waiver for each player on the team that is registering for the League.
Note: The One Per Player waiver option applies only for those players already on the Team Roster at the time of registration prior to selecting the League into the cart.
Contact Name (LSLEAGUE_ContactName)
Enter the name of the primary contact person for this League. This individual will be linked to all facility reservations for this League.
DeletePrimary Email Address (LSLEAGUE_PrimaryEmailAddress)
Enter the email address for the primary contact for this League.
DeletePrimary Phone Number (LSLEAGUE_PrimaryPhoneNumber)
Enter the phone number for primary contact for this League.

Begin Date (LSLEAGUE_BeginDate)
Click the Clock icon to select the Beginning Date for your League. This is the date on which the first game(s) are scheduled.
DeleteBegin Time (LSLeague_BeginTime)
Click the Clock icon to select the beginning time for the first game in this League.
Generally speaking, these fields assume standard start/end times for all games in your League regardless of the day they are played. So if more than one game is played on a particular league day you would enter the start time of the first game (or early game) in the Begin field and the approximate end time for the last game (or late game) in your League in the End Time field.
DeleteEnd Date (LSLEAGUE_EndDate)
Click the Clock icon to select the Ending Date for your League. This is the date on which the last game(s) are scheduled.
Note: This value may be adjusted automatically by the system when the schedule for this League is generated.
End Time (LSLEAGUE_EndTime)
Click the Clock icon to select the approximate ending time for the last game played in this League.
Generally speaking, these fields assume standard start/end times for all games in your League regardless of the day they are played. So if more than one game is played on a particular league day you would enter the start time of the first game (or early game) in the Begin field and the approximate end time for the last game (or late game) in your League in the End Time field.
DeleteTie Break (LSLeague_TieBreak)
Select your Tie Break criteria from the following options in the left-hand table. Tie break options are used to determine League Standings and tournament seedings. To add an option to the Selected column, click the +" symbol. You must have at least one (1) Tie Break option but you may add as many as you deem necessary.
In the event of a tie in the standings between two or more teams the system will cycle down the list of Tie Break options in the order they appear (top to bottom) to determine a "winner" for the purpose of League Standings and tournament seeding. To order Tie Break options in the Selected column; click drag and drop.
- Win Percentage - Ties go to the team with the higher winning percentage. Winning Percentage is Number of Wins divided by Total Games Played. A team with five (5) wins three (3) losses and two (2) ties over 10 games would have a .500 winning percentage (5 wins / 10 games = .500).
- Hockey Points - Ties go to the team with the higher number of points. When calculating Hockey Points teams receive two (2) points for a win zero (0) points for a loss and one (1) point for a tie; so a team with a 3-1-2 record would receive eight (8) points as follows: 6 points for the three wins 0 points for the one loss and 2 points for the two ties.
- Soccer Points - Ties go to the team with the higher number of points. When calculating Soccer Points teams receive three (3) points for a win zero (0) points for a loss and one (1) point for a tie; so a team with a 3-1-2 record would receive 11 points as follows: 9 points for the three wins 0 points for the one loss and 2 points for the two ties.
- Head to Head - Ties go to the team with the better record in head-to-head games against the opponent with whom they are tied.
- Total Points Scored - Ties go to the team that has scored the most points.
- Total Points Allowed - Ties go to the team that has surrendered the most points
- Total Wins -Ties go to the team that has the most victories.
- Sportsmanship - Ties go to the team with the better Sportsmanship score. Sportsmanship points can be maintained as a by-product of League Score Updates.
- User-defined - Tie breaks are done manually. This option generally is used as a "last resort" when all other tie break options have failed due to an exact tie in the standings between two teams. The Team Standing Update program provides a field for this. On the Standard VSI Design go to League Management • Teams Tab • <Select a Team> click Standing Info.
Display On Web (LSLEAGUE_DisplayOnWeb)
Expand the Drop-down list and determine whether you wish to have your League display to patrons in WebTrac, either to allow for registration, schedule viewing or both.
DeleteWebTrac Schedule Begin Date (LSLEAGUE_WebScheduleBeginDate)
Click the Calendar icon to select the date on which you wish to post the schedule for this League in WebTrac. The schedule will begin display on the date you enter.
Leave this field blank to have the schedule display immediately.
DeleteWebTrac Event? (LSLEAGUE_WebEvent)
Select this option to have the scheduled games for this League display on your WebTrac Event Calendar.
DeleteWebTrac Event Title (LSLEAGUE_WebEventTitle)
If you selected Web Event , enter a custom title for this games in this League, if desired.
Optionally, you can leave this field blank. If this field is blank, the Event Calendar will display the text in the Short Description field.
DeleteKeyword Search (LSLEAGUE_KeywordSearch)
Enter any keywords you want to link to this League. Patrons using WebTrac can search for Leagues using keywords.
Keywords may be space-delimited (i.e. Co-ed Softball Evening) or delimited with a comma and a space (i.e. Co-ed, Softball, Evening).
DeleteLeague Image (LSLEAGUE_LeagueImage)
Browse to and select the image you want to associate with this file management record when it is being displayed in WebTrac or when it is printed on reports or in brochures, if applicable (i.e. the image you want to use for this section, or this pass, or this facility, etc. Allowed file formats include: .jpg, .bmp, .png .gif.
Upon selecting the image, the system will prepend the file name with \WebTracimages\. For example, your image name is MyActivity.jpg and it is stored in C:\temp on your workstation. When you select that image, this field will fill with: \WebTracimages\MyActivity.jpg
Leave this field blank if you don't want an image to display in WebTrac or on reports and brochures.
Images used for WebTrac must also be stored in the \images folder on your web server else they will not display in WebTrac. So if you wanted the MyActivity.jpg" image from the example to display in WebTrac then you would need to have the image in this field and you also would have to copy the "MyActivity.jpg" to the \images folder on your web server as well.
Note for Vermont Systems-Fully Hosted and Vermont Systems-Web Only Hosted Customers: The Vermont Systems Hosted team maintains your web server so any images you want displayed in WebTrac need to be sent to them. Select the image you want to display in this field as outlined above and then email a copy of your WebTrac image to HostedServices@vermontsystems.com. The Vermont Systems Hosted team will place the image in the \images folder on your web server. Contact the Hosted team for further information/instruction if needed.
What Size Should Your Images Be?
By default WebTrac displays thumbnail images at 165 (width) x 110 (height) pixels. Images in the \images folder get resized automatically upon display in WebTrac. Click-able images such as those used for facilities will display at their actual/true/full size when a patron clicks the thumbnail to enlarge the image.
When selecting images for display in WebTrac Vermont Systems recommends the following for best results:
- Pre-size your images to dimensions that are directly proportional to 165x110. When sized proportionately your image will not lose aspect ratio and appear skewed when reduced and displayed in the thumbnail.
- Keep the file size of your images at or below 100kb. When patrons use WebTrac the images linked to your items must be downloaded to the patron's browser. Larger images tax your web server far more than smaller ones and result in longer/slower page loading time on the patron's browser.
Search Monday (LSLeague_SearchMonday)
Expand the Drop-down list and determine whether you want this League to be search-able in WebTrac for dates that fall on a Monday.
If this League meets on Mondays, you would select Yes. If this League does not meet on Mondays, you would select No.
DeleteSearch Tuesday (LSLeague_SearchTuesday)
Expand the Drop-down list and determine whether you want this League to be search-able in WebTrac for dates that fall on a Tuesday.
If this League meets on Tuesdays, you would select Yes. If this League does not meet on Tuesdays, you would select No.
DeleteSearch Wednesday (LSLeague_SearchWednesday)
Expand the Drop-down list and determine whether you want this League to be search-able in WebTrac for dates that fall on a Wednesday.
If this League meets on Wednesdays, you would select Yes. If this League does not meet on Wednesdays, you would select No.
DeleteSearch Thursday (LSLeague_SearchThursday)
Expand the Drop-down list and determine whether you want this League to be search-able in WebTrac for dates that fall on a Thursday.
If this League meets on Thursdays, you would select Yes. If this League does not meet on Thursdays, you would select No.
DeleteSearch Friday (LSLeague_SearchFriday)
Expand the Drop-down list and determine whether you want this League to be search-able in WebTrac for dates that fall on a Friday.
If this League meets on Fridays, you would select Yes. If this League does not meet on Fridays, you would select No.
DeleteSearch Saturday (LSLeague_SearchSaturday)

Enter the number of referees you wish to schedule per game for this League. This is not the total number of referees needed for the run of the League, but the number required to work one game only. When scheduling referees, the number of referees scheduled per game will be equal the value you enter here.
DeleteSchedule Referees Through (LSLEAGUE_ScheduleRefereesThrough)
Accept the default (a system-generated date that corresponds with the last day of scheduled games for this League) or click the Calendar icon to select a date, if desired. If a schedule has been generated and referees have been scheduled, VSI recommends leaving this field at its default value.
If creating a new League and a schedule has yet to be generated, VSI recommends leaving this field blank as the system will update it automatically.
DeleteReceipt Documents (LSLEAGUE_ReceiptDocuments)
Click the Picklist icon to select the Receipt Documents you wish to link to this League.
Receipt Documents are maintained in Document Management and usually consist of pertinent information that you want to pass along to your patrons whenever a receipt of a certain type is generated. Receipt documents can vary by the transaction type (i.e. you can have separate receipt documents for new purchases/registrations cancellations changes etc.) or you can use the same document for all receipts. Further etc.) or you can use the same document for all receipts. Further you can print separate documents for receipts generated via WebTrac and RecTrac if desired.
Printing Receipt Documents

RecTrac
- Receipt documents print along with receipt when queued to a printer either at the time of the transaction or later using the Receipt Reprint program. This is the preferred method for printing and reprinting receipt documents.
- Receipt documents are included as an attachment when receipts are emailed from RecTrac either at the time of the transaction or later using the Receipt Reprint program.
- When you link a receipt document in this field a copy of it gets placed in the Document Center. Document Type = "Standard Document." You can print it from there if needed. The copy gets placed in the Document Center at the moment you link it in this field. When a receipt document gets generated as part of a transaction the copy in the Document Center doesn't get updated and no new copy gets sent there.

WebTrac
- Receipt documents created from a transaction in WebTrac are attached (along with the receipt) to the confirmation email that gets sent to the patron.
- Additionally the WebTrac Confirmation Screen provides a click-able link to the document so patrons can print it at that time or save it.
Note: Receipt documents do not preview in RecTrac. If you're opting to Preview Receipts then the receipt and any waivers will preview but the receipt document won't. This is because RecTrac has no way of telling your browser what file type you're using for the receipt document (.pdf .jpg .docx .txt etc.). So if you're only previewing receipts then your best recourse for printing the receipt document at a later date is to use the Receipt Reprint program as noted above.
WebTrac - Whether receipt documents preview in WebTrac is dependent upon the file type and the browser being used. For best results Vermont Systems recommends using .pdf or .jpg file types for receipt documents in WebTrac. These file types always preview regardless of the browser being used. Your patrons will experience mixed results if you use other file types.
Setup Minutes (LSLEAGUE_SetupMinutes)
Enter the number of minutes required to prepare your facility for a meeting of this League. This value, along with the Game Minutes (Core Settings panel) and Cleanup Minutes (if any) will be used when determining the amount of time required for facility reservations for your League.
DeleteCleanup Minutes (LSLEAGUE_CleanupMinutes)
Enter the number of minutes required to reset your facility after a meeting of this League. This value, along with the Game Minutes (Core Settings panel) and Setup Minutes (if any) will be used when determining the amount of time required for facility reservations for your League.

This is a system-controlled field. When enabled it signifies that this League has been Archived . Users cannot select/de-select this option manually; it is enabled automatically upon archiving..
When this field is enabled this League will no longer be visible in Daily Processing DataGrids unless your filters include Archived Leagues.
The Record Status of the League will stay as it was when the archive was processed. This allows you to report on League Status even after a league has been Archived so that you can answer questions such as "How many games were cancelled in 20xx?" or "How many softball leagues did we offer on Wednesdays in March 20xx?"
DeleteRecord League Attendance? (LSLEAGUE_RecordLeagueAttendance)
Select this option if you wish to track attendance for this League via pass swipe/visit.
Note: Selecting this option presupposes a valid pass requirement for admission to this League. To restrict registration to a League by pass membership create a Rule using Pass Perquisite as a Criterion.

DeleteComment Text (LSLEAGUE_Comments)
Enter any additional comments that are specific to this League that you want to print on a receipt that is generated for this League, if any. Text entered in this field will print in addition to the text from a linked Comment Code, if any.
The text in this field will print regardless of whether a Comment Code is linked.
Free form comments may consist of up to 30,000 characters. The right-hand side of the field contains a character counter.
DeleteLeague Reservations Maintenance Code Override (LSLEAGUE_MaintenanceCode)
Click the Picklist iconto select the appropriate Maintenance Code from the Comment Code Selection picklist. This comment will print on your Maintenance Report.
For Example: All floors should be swept prior to each game.
When making Facility Reservations for this League, the Maintenance Code entered here, if any, will override the Maintenance Code entered in the Maintenance Comment Code field on the System Reservations screen if any.
If you are using the RecTrac/MainTrac connectivity feature an entry in this field will serve to create a MainTrac Work Request.

HTML formatting works with messages that display in RecTrac only. HTML formatting will not work for comment type fields that print on receipts and reports. The process used to render the .pdf simply prints whatever text it finds in the field so if you use HTML tags in a receipt comment for example you'll get the raw HTML on the receipt instead of your planned formatting.
Tickler Text Interface Type (LSLeague_TicklerTextInterfaceType)
This option is applicable to whatever you've entered in the Tickler Text field only.
Accept the default entry (All) or select another Interface type. The selection you make dictates where your free form tickler text will appear.
- All - The tickler text will show in both RecTrac and WebTrac.
- RecTrac - The ticket text will be displayed in RecTrac only.
- WebTrac - The ticker text will be displayed in WebTrac only.
Tickler Text (LSLEAGUE_TicklerText)
Enter any additional tickler type comments that are specific to this League that you want a Clerk to see upon selecting it into the Shopping Cart, if any. Text entered in this field will print in addition to the text from a linked Comment Code, if any.

HTML formatting works with messages that display in RecTrac only. HTML formatting will not work for comment type fields that print on receipts and reports. The process used to render the .pdf simply prints whatever text it finds in the field so if you use HTML tags in a receipt comment for example you'll get the raw HTML on the receipt instead of your planned formatting.
Brochure Code (LSLEAGUE_BrochureCode)
Click the Picklist icon to select the Brochure Code, if any, that you wish to link to this League from the Comment Code Selection picklist. This comment will print on the Brochure Generator report or on any Custom Brochure you may have purchased. Additionally, it will display on any WebTrac detail searches as well.
Note: If opting to use this field for your WebTrac detail searches then any HTML tags entered here (i.e. <strong>bold tags</strong> <em>italics tags</em> etc…) will be rendered accordingly when viewed in WebTrac.
Brochure Codes are maintained in Comment Code Management. Code Type = League Brochure.
DeleteBrochure Text (LSLEAGUE_BrochureText)
Enter any additional comments that are specific to this League that you want to print on the Brochure or in WebTrac detail searches, if any. Text entered in this field will print in addition to the text from a linked Brochure Code, if any. The text in this field will print regardless of whether a Brochure Code is linked.
Free form comments may consist of up to 30,000 characters. The right-hand side of the field contains a character counter.
Note: If opting to use this field for your WebTrac detail searches then any HTML tags entered here (i.e. <strong>bold tags</strong> <em>italics tags</em> etc…) will be rendered accordingly when viewed in WebTrac.
Facilities
Facilities (LSLeagueUpdate_LSFacilityLinkDataGrid)
The League Update Facilities DataGrid allows you to see all applicable Facilities linked to this League. When generating the schedule for this League, the system will create in-house reservations for the facility/facilities listed here automatically for the dates and times entered. Additionally, you could create facility holds if desired to ensure nothing gets scheduled at this facility.
If creating Facility Reservations for your League schedule, facilities must be linked first.
By default, the League Update Facilities DataGrid displays Begin and End date range of your League reservations, the Facility Combo Key (The Facility, Facility Type, and Location), and the begin and end reservation times for each day of the week.
From the bottom of the DataGrid,...Click Add Facility to continue to the League Facility Link Update screen where you can add a new facility.
Leagues can be linked to multiple facilities if needed and even to multiple locations.
Highlight/select an existing Rate and click Change Rate to continue to the League Facility Link Update screen where you edit information on a facility.
Highlight/select an existing Facility and click Delete Facility to remove it from the list of facilities linked to this League. League schedule reservation information must be purged.
DeleteSchedule
Schedule (LSLeagueUpdate_LSScheduleDataGrid)
The League Update Schedule DataGrid allows you to see all games scheduled for this League. When generating a schedule for this League. From this screen, you can highlight/select a game that has been played and update game and sportsmanship scores and update statistics. Optionally, you can Add a game and update its scores and statistics as well.
By default, the League Update Schedule DataGrid displays Away Team information (team, linked household, game scores, sportsmanship scores, forfeit identifier, etc...), Game information (Begin/End time, Game Type, Facility info, etc...), Home Team information (team, linked household, game scores, sportsmanship scores, forfeit identifier, etc...), and League and Referee information.
From the bottom of the DataGrid,...
Click Add Schedule to continue to the League Schedule Update screen where you can add and score a new game if desired. This would be a good option in the event you had to score a "make up" game for example.
Leagues can be linked to multiple Schedule if needed and even to multiple locations.
Highlight/select an existing Rate and click Change Rate to continue to the League Schedule Update screen where you update scores for the game played.
Highlight/select an existing Schedule and click Delete Schedule to remove it from the browser and not score it.
DeleteExemptions
Exemptions (LSLeagueUpdate_LSExemptionDataGrid)
The League Update Exemption DataGrid allows you to see all Exemptions for this League. Exemptions allow you to enter the beginning and ending dates and times that a league, facility or team cannot be scheduled for play. When generating a schedule for this League, the system will look at the exemptions listed in this browser and attempt to accurately schedule teams and facilities accordingly. You must create the exemptions before generating your league schedule.
By default, the League Update Exemption DataGrid displays begin/end time of the exemption, the date range it will be in effect, the Exemption Type, the Facility Combo Key, Household Number, League Link ID, Team Link ID and Team Number.

Click Add Exemption to continue to the League Exemption Update screen where you can add an exemption.
Highlight/select an existing Rate and click Change Rate to continue to the League Exemption Update screen where you edit an existing exemption if needed.
Highlight/select an existing Exemption and click Delete Exemption to remove it from the browser. You must create the exemptions before generating your league schedule so deleting an exemption after a schedule has been generated will have no impact.

Email Features (LSLeagueUpdate_EmailFeaturesDataGrid)
The Email Features DataGrid allows you to see all applicable email notification criteria linked to this item. Email features/criteria dictate when an email will be sent (upon a purchase, upon a cancellation/return, etc.) and to whom it will go.
By default, the Email Features DataGrid displays the Transaction Type that will result in an email being sent, the Status, (linked) Feature Type, (linked) Feature List, whether to CC a Coordinator option (as applicable), Free Form Contacts, Staff Contacts, Override Text, and Features. Your set up may vary

Click Add to continue to the Email Features Update Screen where you may add or change a linked email feature.
Highlight/select a record and click Change to continue to the Email Features Update Screen where you can make changes.
Highlight/select a record and click Delete to remove it from the item.
DeleteTeams
Teams (LSLeagueUpdate_SADetailDataGrid)
The Teams DataGrid allows you to see all Teams linked to this League. Teams are linked to a League via the registration process, either in Global Sales or in WebTrac (or both), as dependent upon your setup.
By default, the Teams DataGrid displays the Team Number, Team Name, Primary Contact and Phone Number, Record (Wins, Losses, and Ties), Winning Percentage, Seed (for Tournaments), Status, Fee Information, and the Household ID of the Primary Contact.
Notes: The following lists how the Primary Contact for a League Team is determined.
- If a player on the Team is flagged as the Primary Contact then that player's name will appear as the Primary Contact on all reports and other listings in both RecTrac and WebTrac. One (1) Team Member only may be flagged as the Primary Contact for the Team on the League Teams DataGrid.
- If no player on the Team is flagged as the Primary Contact on this DataGrid then the system will use the name listed in the Team Contact field in League Team Update if any as the Primary Contact for the Team.
- If no player is flagged as the Primary Contact on the League Team DataGrid and if the Team Contact field is empty in League Team Update then no name will display as Primary Contact for this Team in RecTrac or WebTrac.

Highlight/select a Team and click Update Team to continue to the League Team Update screen where you can make changes to Team Information such as (but not limited to): Team Name Colors Fee Codes Email Addresses Members etc….
Highlight/select a Team and click Standing Info to continue to the Team Standing Update screen where you can make changes to the Team's League Standing information such as (but not limited to): Record (Wins/Losses/Ties) Tie Breakers Number of Games played etc….
Highlight/select a Team and click Link to Different Household (From Internal Household Only) to link a Team added under the Internal Household to an actual Household in your Database. This option allows you to pre-register Teams in Global Sales and then link them to households after the fact. Optionally it allows Daily/Guests to register Teams and then link the Team to the patron once his/her household has been added to RecTrac.
Note: This option cannot be used to transfer a Team from one household to another. At present to transfer a Team from one household to another you have to cancel the registration from the first household and re-register using the second in Global Sales.
