-
Name Lookup - Runs a Family Member lookup, either by Family Member Last Name, by Family Member Number or by Xref Number.
Notes: This is the Default Option. When entering values manually in the ID Swipe field pressing <Enter> on your keyboard will process the lookup.
-
Pass Number Lookup - Runs a lookup by Pass Number.
Note: Custom Screen Design allows you to make the <Enter> key default to Pass Number Lookup in lieu of Name Lookup button if desired. You MUST be running Visit Processing in Attended mode to utilize this functionality. Click Here for step-by-step instructions.
- Daily Visit - Allows you to process a Daily sale. Click this button to proceed to the Daily Pass Selection screen.
- Complete Visit - Used to complete a Visit that requires clerk interaction. Highlight/select the Incomplete Visit in the Visits DataGrid and click Complete Visit. In Visit Processing Incomplete Visits are highlighted in red on the DataGrid.
-
Empty Cart - Clears items from the Shopping Cart.
This field is applicable to Visit Processing only. -
Payment/Refund - Takes you to the Payment Screen where you can complete the transaction.
This field is applicable to Visit Processing only. - Cancel Visit - Allows you to cancel a Visit that has been processed. Highlight/select a Visit in the Visits DataGrid and click Cancel Visit to process the cancellation. If Fees are involved you may need to process a Refund.
AutoComplete Transaction (GlobalSalesArea_AutoComplete)
Select this option if you wish to allow the Visit process to complete without having to go through the Payment screen for visits that do not have fees associated with them. This is a good option for expediting the visit process.
De-select this option if you wish to go through the Payment screen when processing a visit regardless of whether fees are involved.
Visits with fees involved must go through the Payment screen. The Auto Complete feature cannot be overridden in this instance.
Note: The default setting for this field (enabled or disabled) is determined by your setting in the Auto Complete Default field for the Process Type you're using on your Visit Profile. For Example: If you're using the Attended Process Type then you would set this field on the Attended Visit Options group of your Visit Profile. If you're using the UnAttended Process Type then you would set this field on the UnAttended Visit Options group etc…
UnAttended Processing (GlobalSalesArea_VisitProcessingOption)
Accept the default entry or change the setting as needed. This field determines whether you are processing visits in Attended Mode (option disabled) or UnAttended Mode (option enabled). You can edit this field as often as needed during your Visit Processing sessions.
- Attended Mode - Traditional RecTrac Visit Processing where patrons swipe in and the clerk in attendance sees to any visit prompts that arise. Visit prompts include, but are not limited to: Visit Purpose, Display of Member Photos at Check-in, Acknowledging a Tickler, Pass due to Expire Warnings, Activity drop-ins Payment Processing, etc…
-
UnAttended Mode - Designed to allow patrons to swipe in as quickly as possible by sending all swipes directly to the broker and letting the log catch up on its next refresh. This mode is operational only with hardware configured for keyboard emulation.
UnAttended Mode will create incomplete status records whenever a visit is processed that involves prompts, such as Visit Purpose, Acknowledging a Tickler, Pass due to Expire Warnings, etc…. Incomplete Visit records appear in the DataGrid with red highlight and must be completed manually by the clerk. To Complete an Incomplete Visit highlight/select it in the DataGrid and click Complete Visit.
Notes: Using key strokes or mouse clicks to manipulate the Visit Control buttons (Name Lookup Pass Number Lookup Daily Visit etc…) assumes you are running Visit Processing in Attended or Both - Default Attended mode. IF you are running Visit Processing in UnAttended mode then the system will allow you to use the Control Buttons without issue. Upon completing the visit the system will revert to UnAttended mode for the next swipe.
Visit Processing mode is determined by your setting in the Process Type field on your Visit Profile • Core group. UnAttended Mode does NOT refer to an unattended swipe station where patrons enter their own data using the keyboard and/or mouse. UnAttended Mode refers to a swipe station where pass data is entered by Card Swipe only regardless of whether or not a clerk is sitting at the workstation.
- If your Swipe Station is set up to allow members to enter their own data via keyboard/mouse OR through any combination of swipe/keyboard/mouse then VSI highly recommends selecting Attended as your Process Option so that members may complete their visits as they swipe in.
- If your Swipe Station is set up to allow data entry via card swipe only (i.e. without using the keyboard or mouse) then VSI recommends selecting UnAttended or Both - Default UnAttended as your Process Option. Any incomplete swipes can be completed later as needed.
Visit Date (GlobalSalesArea_VisitDate)
Accept the default entry (today's" date) or click the Calendar icon to select an alternate date if desired. The date you select will be the date for which Visits are processed. This field impacts the Visit Date only. Any monetary transaction involved in a post-dated or pre-dated Visit will be processed for "today's" date regardless of the Date selected here unless you opt to change the date again on the Payment screen.
The Display Visit Date Field on the Core group of your Visit profile determines whether this field appears on screen.
Note: Back-dated or pre-dated visits will NOT display in the Visit Processing DataGrid. The Visit Processing DataGrid is hard-coded to display real time visits for "today's date" only. For Example: "Today's Date" is 02 May 20xx. You set this field to 30 April and process a visit. That visit will not display in the DataGrid because only visits being processed "today" (02 May in this example) display in the DataGrid.
