We have our special guest presenter here today and Dylan Greer, also from Vermont system sales. And as always, I'm joined by Bret for helping out with the chats and all the kind of back end stuff without him this would be a much less smooth process. Great. Thanks, Zack. So thanks, everyone, for joining us. Today, we're going to be talking a little bit about venue tickets, we're going to chat about some of the benefits that venue tickets rang. I'll talk a little bit about how we're actually going to create venue tickets. And then we'll jump into RecTrac and WebTrac, to see kind of both sides of how we're going to sell those venue tickets and kind of what takes place. So just to start to give everyone a little bit of an idea with any tickets. And what it brings to you your patrons and your community as far as benefits is, it really gives you as users of RecTrac, the ability to manage assigned seating for whatever kind of event you might be holding. So if you have a theater that you might hold different concerts or different venues of that nature, it's really nice to be able to control exact assigned seats. So that's one benefit. The other thing is we can create custom seating charts. And you can sell those tickets to both a household or you can use the guest household as well. So it doesn't have to be a specific individual, it really is up to you on how you want sell those tickets. The other benefits is we can automate ticket pricing. And we can create custom tickets that can be used to scan in when they're actually entering the venue for whatever it might be whether it is again, that concert or another event that's taking place. So the first thing we're going to take a look at here is venue tickets within RecTrac itself. So within RecTrac, we can create tickets using Point Of Sale ticket management. So the first thing you do is you create tickets using Point Of Sale, ticket management. And then from there, you're going to use touch Point Of Sale, and WebTrac graphical management to actually create the venue that you're kind of seeing here. Once you've done those two steps, you're then going to use template design studio to create that custom ticket using images or whatever else you'd like that a patron is going to use. And they can bring that in to actually scan in to the event.

So what we're looking at right now is RecTrac. And we're looking at touch Point Of Sale. So this Screen has been built specifically for a venue ticket. So the idea of the venue is that you're going to be using a graphical image, as you can see kind of here. And we're overlaying different buttons that are going to be the specific the specific, excuse me, assigned see for the individual areas. So when you're going through, what you can do is you can select the different events that you're actually holding. So whether you're holding one event a year, or you're holding multiple, you can use that same venue over and over again. So the initial setup of creating your venue can take a little bit of time. It could take an hour or maybe two Make a few depending on how large your venue is and how complicated it is. But once you have that set up, you can reuse that venue over and over again. So you don't have to reinvent the wheel. And we'll take a look at that here in just a little bit of how easy it is to create additional events using that same venue. So to sell a assigned seat to a venue within touch Point Of Sale, there's a couple options, we have some buttons that we've created down here that are for specific events. And we have a ticket search if you didn't have specific buttons created.

So one nice thing is when you Click on something like The Elephant Man for March 13, you can see that the venue up here actually changes. So We've color coded our seats to show green as available and red as unavailable. So what you can do is very simply Click on a seat, that will get added to your shopping cart. And then you're going to go ahead and actually process this payment. So once you go to the payment Screen, and you can sell one ticket or you can sell multiple, let's say this person is going to come through and pay cash. And then I'm going to preview my receipt. So when I actually process this transaction, if you have a custom ticket created, that ticket will automatically print out. And that could print out on an actual Zebra printer or something else that printed on actual card stock. You can also preview that ticket by going back into the Document Center here. If I just refresh this, I'll see the new ticket that came up. And I can preview that ticket here. So this is just an example of a custom ticket that was created with some images, it also has a barcode that again can be scanned at that venue. So whether the person is actually printing it out, or pulling it up in another manner, that ticket can be used that way. So once we've sold that I want to take a look at how can we also sell season tickets.

So season tickets can be sold through RecTrac. And the idea here is that you're gonna go through very similar steps of selecting maybe a single event, and then selecting the seat that you want. Once that seat gets added to the shopping cart, you're going to select it from the shopping cart, and Click this season ticket Button. So that season ticket Button is a specific Button Type within touch Point Of Sale. So once you Click this, what it's actually doing is it's going through and trying to sell that exact seat to all the events that are happening within that same ticket Type. So typically, you'd want to do this at the beginning of the year before you might have sold some tickets. So as you can see here, there's some availability conflicts for other events that have already happened in that ticket has been sold. So there was two conflicts, but the rest of the events got added to my shopping cart automatically. So then you can go through, you can process your payment, and that person has that si G 33 for the entire scene. And so for all the events that might be taking place at this venue itself. Okay, the other thing I want to point out here with our tickets is that you can have buttons that switch you to different layers. So if you have additional venues that you might want to show, you can Toggle between those as well. So maybe you have a few different venues that have different layouts or something like that. This one is a good example as far as a venue where it may be very large. And instead of being able to Click on the individual seats, you're first going to Click on the area. And that will bring you then into a layer that will show you some specific spots that you can then select the seats. So there's a lot of different ways of actually controlling your venue tickets, really depending on the layout and venue and how you want to get to the different areas.

That Okay, so from here, what I want to do is I want to jump into WebTrac so that we get an opportunity to look at how would your patrons buy these tickets themselves using venue tickets. So I'm jump over here to WebTrac. So in WebTrac when you go to the search option and you're selling tickets, you'll likely have an additional area for venue tickets. When you Click on venue tickets. The Screen that you get brought to you first may vary so if you have multiple venues, you first get brought here to select which venue Are you looking to go to? So whether we're looking at the grapevine venue, which is the one we just looked at In RecTrac, where you first select the area, and then the ticket, or maybe we are going to be looking at the theater venue, which is going to bring me directly into the layout of the theater. So what's nice, and I mentioned earlier is the ability to use the same venue over and over again, so that hopefully you don't have to reinvent the wheel. So if you have multiple events that use the same theater, what happens is you get this drop down here, where your patrons are able to select, what event do they actually want to go to.

So we're looking at, let's say, Elephant Man, on March 13, you can see we've got a bunch of available tickets. And when I select that, the page automatically refreshes, and we can see which tickets are available. So one additional thing that's really kind of cool here, with our venue tickets on WebTrac Is that you can add images. So when you hover over a seat, we can have an image of what it might actually look like if the patient was sitting in those seats. So whether they're in the back, or their front row seating, etc, you can have different images set up from those different areas. So that's one piece that is really kind of nice, and gives patrons a little extra view of what it might be like. So once they select the event that they want, again, they can go ahead and select the seat. So if they want front row, they add that item to the shopping cart. And when I Click add to cart here, based on your setup, you can have them log into their WebTrac household, or they can continue as a guest. So that adds an extra kind of benefit to you as well, that people don't have to go through and fill out necessarily an entire household just to buy maybe a ticket to a concert or something like that, we can ask them to fill out some guest information here. Click continue. What this is doing, it brings me to the actual checkout Screen. So I'll proceed to checkout. We're going to pay here by Visa, I'm going to fill out all of my billing information. And then we're going to fill out the credit card

And also while we're we have this moment where Dylan is doing something requiring a little bit of concentration. He he's talking about basically what happens once you have in your tickets all configured and what it looks like for your clerks and your customers to use the system. But he's obviously not going deep into the configuration side of things. So what we have planned for next Thursday is a virtual symposium where we're going to spend an hour with one of our implementation technicians, Luc LeBlanc, and he's going to come in and give us more of that file management side where we can Build the tickets, make sure they're set up the right way, make sure we have our venues configured and actually go through the Button creation that Dylan's been talking about. So that's my little plug. All right, thanks Zach. So once you fill out all of your payment information as a guest here on WebTrac. And they continue through, they can get that emailed receipt and they can also get a copy of that ticket as well. So as an example here, we can pull up their receipt or their ticket again, this can get emailed to them. But when they view their ticket on here, they have access to that. So again, they have access to these PDFs. And they can be doing this on their mobile device, if they would like all this all WebTrac mobile friendly, so they can process all of that right on the right at their fingertips as well. So that's looking at our actual venue tickets on WebTrac as well. So the one thing I wanted to jump back to RecTrac and look at real quick here was I talked about how easy is to create additional events that might might be happening under the same venue. So, I want to prove to you how easy it actually is. And I'm just gonna say I want to show you here. So in Point Of Sale, ticket management, I had just sold an event down here, you'll scroll down a bit to Elephant Man on March 13. So if we're going to hold this, let's say, a whole concert series, so it's going to happen multiple times, it's very easy to actually go into Point Of Sale, ticket management, you can clone this. And we can take, let's say, Elephant Man. And we'll do June 9th. Once I Click continue, this is going to clone the ticket, it's going to throw in any fees rules, it's going to clone the ticket blocks, as well. So we have our elephant man, June 9th In here, you might need to come in and just just a few descriptions. So let's just adjust this to June 9th. And we will change our dates here.

And then what's really nice is it automatically has that same web graphical already linked, so everything is set up and good to go. All these tickets are going to be using the same graphical that has already been created. So I can now save this. And this would be available for your patrons to use on WebTrac. And you can use that in RecTrac as well again, using that same exact venue that you initially set up. So if I jump back here to touch Point Of Sale, and just take a quick look at my theater, even though I haven't created a Button specifically for Elephant Man, on June 9th, I can use my ticket search to look up Elephant Man, on June 9th. I can search it. And then all of those tickets that I had just cloned are now available for a brand new day. So it is very quick and easy to create new events so that you can reuse that thing over and over again. The last thing I'm just going to put out there here is you can create as many different venues as you'd like. Obviously, we looked at a few over here kind of on the left for like grapevine, and things like that. But you can get creative with this. So even if you wanted to have assigned seating at like an outdoor space for one venue, you can easily kind of create those on the fly doesn't have to be an actual theater or something like that. So that's the end of kind of what I had to show everyone today. If there are any questions, I'm more than happy to take those right now and answer anything that's kind of out there.

Yeah, so thank you very much, Dylan. I'll reiterate that any questions, this would be the perfect time to bring them in. And we have one to begin with. From Kelly. So you are kind of prefacing this. And I think that this is right there. We'll get a little bit more into it. Next session, but she's basically asking how does the season ticket Button know to sell season tickets? Like, could you talk a little bit more about the what the parameters are for that?

Yeah, definitely. So when we're doing the season tickets, and I'll jump back here to that, that strong theater, what it's doing is it's actually looking at Point Of Sale, ticket management. And it's all of the tickets. So the first one I had done was that elephant man you on March 13. So what it's doing is we're actually linking those together. And I believe it's with a Type of ticket here. So it's looking at all those items that have the same ticket Type of theater in this example, but are also at that same thing. So that's what it's doing when it's actually going through to check those is they are linked together. I believe it's with the ticket Type here that is kind of linking those together. So it's really just the season by is trying to sell you tickets to all the different events that are upcoming that same ticket Type.

That's very useful. Thank you very much for that Dylan. So we can Yeah, we'll go a little bit more in detail to that as well. And I guess there is kind of just another like little component of it. That's a little bit background here from what Dylan has been showing you. So like each of those buttons represents a very specific seat. And we've gotten or Dylan has gone through and basically built out what each of those seats are. There's a there's a process called Seat assignments when you're doing serial tickets. So as long as your tickets have the same seat assignment code, like let's say you have row one, seat A, Section five, or whatever it is for your tickets, as long as it's consistent code. And that code always means that seat and you just happen to have that code for different events than the season ticket is just looking for every ticket that has that same code for, as Dylan said, any event that has the same Type linked to it. So that's how it kind of automates a little bit. So Andre has a question. So he says, Well, I understand the parameters in this is working for an event with this seating? Can you think of whether or not this would be viable for open gym Type activities? I have a thought too. But I'm curious what you're thinking there.

Yeah, I guess. I mean, I haven't seen a lot of use cases, specifically in my examples are those Zack, if you've come across many that?

Yes, I don't, I don't know that I would necessarily consider it to be like venue ticket would work. In that case, we definitely have had people use tickets, just to kind of create individual records so that you can sell somebody admission to come into the gym on a one time basis for a certain time of day or something like that. I'm having a hard time thinking of how specifically having the venue stuff set up and like assigning a particular area of the gym. Unless you were doing that if you have your gym kind of segmented into different areas, then yeah, you could probably you could set it up as a venue and do that. There might be slightly more effective ways of doing so. But theoretically, that would work. But very good question and creative, creative question to Melissa is asking if we need a special scanner to scan the tickets at the venue.

So it kind of depends how you're scanning tickets. So most of our scanners that we sell, like the honey wells, those can scan, especially if you're just doing a piece of paper that someone's actually printing out, or you're printing it out on cardstock. Those can print fine. You would need a 2d scanner, if you're going to try and scan on like a mobile device or something like that.

Yeah, very good. And I guess you know, the other thing is, we have to have it connecting and talking to RecTrac. So it can verify the barcode is a valid barcode. But yeah, as long as you have a scanner attached to RecTrac, you're good there. Christy has a question. She's asking, is there a way to create a promo code for discounted tickets? Also, they'd like to get a report on which promo codes were used when the ticket was purchased. So not specifically, just tickets. But

sure. So it's not necessarily a promo code, we do offer coupon codes that you can use in RecTrac WebTrac. So whether you want to use kind of a generic one that people can use, or it's very specific, you can create those coupon codes, so that people can get discounts on tickets for sure.

And you know what, I just thought coupon codes would be an awesome topic for a future RecTrac RecChat sessions. So I'm just gonna make that note and steal that idea. Thank you, Christy. Alright, looks like Amos has a question. It's about support. So Cullen is answering that Stacy is asking how can you link the web graphical in touch Screen? So I guess there's some subtlety that question, if you can unpack that slightly for us.

Yes. So there, there are kind of two parts to doing it. So when you create, if you want to sell venue tickets online, you're going to be using the WebTrac graphical management, if you want to sell them in RecTrac, then you're using touch Point Of Sale. So you are kind of creating those in two separate places. So some people choose not to actually have a venue set up, specifically in RecTrac. They want that on WebTrac to kind of get people to do it that way. So you can shoot pick and choose. But there are kind of two places to to Build that thing is you can use the same image, which typically is just an image that you would have saved in JPEG. And overlaying your buttons. You can use that same one in RecTrac. And in touch Point Of Sale and the WebTrac Wrath Manson. They are built separately, I believe, right, Zack?

Yeah, unfortunately, we do have to do them as separate entities. One of the reasons is when you're building in touch Point Of Sale, most of the buttons become percentage base to to allow for resizing the Screen. Whereas on WebTrac Because there's so many more Screen sizes we might have to deal with we make it a fixed size element. So it is almost the same process but unfortunate. Only there's not a direct, apply these buttons to graphical layers or apply these graphical buttons to touch layers. And just real quick, Stacy if maybe what was confusing for you is that when you went to WebTrac settings, you see the web graphical layer link, and there's nowhere to say like, what's the RecTrac? Graphical Airlink? Well, if you go below that, and your ticket management to miscellaneous settings, that's where you can assign your Touch POS layer links and in that, so yes, we will go much more in depth with that sort of that side of the configuration next week during the virtual symposium session. All right, Joel. How's it going, Joel, nice to see you. Jolla, former Vermont systems employee is attending our session today and has shared that they've used the facility module in RecTrac, to share some of those or to deal with some of the COVID related restrictions. So I think that was Andres question. Joel is responding to Andre asked about using tickets to limit access to gyms. Joel is saying that they use the Facility Reservation piece to very specifically block out portions of the facility at different times a day. So thank you for that information. Let's see, is there a webinar posted for the tickets function? Yes, there is one, if you are subscribed to the virtual symposium, so unfortunately, we have that little asterix there. But if you do subscribe to the virtual symposium, that's that $600 per year subscription. And either Dave or Dylan would be very, very happy to talk to you about that. You get access to all of our archive sessions. So we had roughly 20 From the year 2020, we have, we're going to have roughly 22 to 23 for the year 2022. So we're developing a large backlog of information. They're all based in RecTrac, 3.1. They're all based on the Next Gen UI. So they're all modern and up to date. And as we do go through, we will start repeating some topics as we get updates and the like. But yes, we have a whole series on each of the Point Of Sale modules, tickets, service items and inventory in the virtual symposium archive. So yeah, thank you for that Andre, your $50 is in the mail for bringing that up and allowing you to I'm just joking. There's been no quid pro quo. There's no pay to play. This is all ethical and aboveboard. Kelly speaking about being aboveboard is asking if we have ticket sales capabilities now on WebTrac. Does that license cover the WebTrac? graphical management to tell sell venue tickets online? So here's that question. That is why our sales guys are here. What's the cost here? Guys?

Yeah, that's a great question. So venue, tickets is separate from actual Point Of Sale ticket. So we do have those separated, there is an additional cost to actually having the venue tickets. But, again, if you have venues where you're trying to assign specific seats, there's definitely a big benefit to kind of allowing that capability online. So yeah, we can definitely make sure that we get you pricing on that specifically. So you let us know, we're more than happy to get anyone pricing.

Justin is saying that it looks like the season tickets adds the tickets together across multiple events and performances. But is it possible to automatically apply a discount to somebody that does want to buy a season ticket?

That's a great question as far as actually applying those discounts. And I think we could set up something as far as let's say if a sign up for five events with the same Type, we could add in discount using some of our criteria with our fee. So I definitely think there's some capability there to factor in discounts for sure.

Yeah, my my head goes towards the advanced criteria and doing some this many tickets for this particular ticket Type. And then you get this percentage discount applied to it. But not if you don't have that many tickets to that event Type. Something along those lines. I can make a note on that we could not have Luc prepared to kind of address that topic during next week's session as well. Yes, so Kelly is curious. She would like to know if they already have it, and if not how much it would cost still. And so if you're Dave, mind, following up on that, that'd be amazing. And that is our last question. So he's asking if you can set up a banquet venue. So I guess maybe we need a slight bit of more clarification, Marvin, it's very good for venues just broadly speaking. But what makes a banquet venue specific thing? Like, maybe you're selling tickets to individual tables? We can certainly do that. I mean, basically, the graphic arrangement, you can arrange the tickets, the buttons all the way through. In any configuration you'd like to know Dylan, if you have anything else to add? Yeah, round tables and chairs is what he's saying. I don't know if you have an example for that Dylan. I think it would just look different, like it wouldn't be any, rather than having all your buttons in orientation to the stage, they just be in circles grouped together?

Correct? Yeah. So the actual setup of the venue can be whatever you like. This is just kind of one example. I don't necessarily have one with the round tables here to kind of illustrate that the State Theatre is an example of a huge theater with tons and tons of seats, seats, excuse me, but you can really rearrange these however you like. Most of the time, we're actually again, taking a graphical that we're then overlaying buttons on. So really, whatever kind of layout that you would have, we'd overlaid buttons for those specific seat assignments on top of those, so we definitely can accommodate round tables and seats around those for sure.

Yeah, I guess one thing to point out is RecTrac loves consistency. So like, if you're, if your banquet venue always has the same seat and table arrangement, then you only have to do one version of that. But it's also not that difficult to do different versions, let's say you have five different ways you primarily set up your banquet venue, and they, they maybe have different numbers of tables, different numbers of chairs, and the like. So you could very easily take control of that and have those five different versions of the one venue, depending on what Type of event you're going to put on. And then you're just once again, exactly the same process is doing described, you're cloning something from each to each time you need it. So if this is going to be our 20 tables, and 100 Chair venue, or this is a 20 table 100 Chair event, we just take that version of the venue and clone it. If it's going to be our 10 table and 50 version of the event, then we'll just clone that one. So different ways of doing it. And I could very easily see that our ticket assignment working where you get the table name, that's your that's part of it. And then how many seats go around it 12345. So table a seat one, that's your code. It's like it's consistent code, then it works very well for venues. And let's see, then I guess maybe this is a good one. Perfect. So then that way, I don't have to feel guilty about keeping people on. So Anthony is asking if you can elaborate more on the barcode ticket technology, how's it generated? And what does it link to when it's scanned?

Sure. So what we're actually doing is we're using the access ticket portion of, of RecTrac. So without trying to get too in depth here, when you actually are in Point Of Sale, ticket management, you are linking over on the right hand side here are access tickets for RecTrac and WebTrac as well. So what you're doing is you are using template designs studio I may not have it in this one. We're using template design studio to actually create and customize that ticket itself. So In the ticket that you create, we're just setting kind of the dimensions whether it's two inches by three inches, and then we're putting in the barcode. So the barcode, all that is, is it's a different font. So it's pulling in basically a unique number in your specifying, saying that that ticket is a one time use ticket in that example. So you might be adding images, and then you're adding the barcode. And you might be pulling in some of our dynamic fields that tell you exactly what seat and what section is that ticket in. So when someone redeems it, they're able to come in, they scan that, that ticket as a one time use, it is no longer valid after that time. So they can't keep coming to all of your different events and things like that. But then they can go and find their specific seat holding on to their ticket that they've had. So hopefully that answers a little bit more of your question as far as what you'd be doing. But it's template design studio, where you would actually be creating those tickets.

And if anybody's, if you're familiar with that part, there's also the access ticket template where you can sell it, how many times that barcode works. So most of the time, the one to one is exactly what we want. A customer prints their ticket five times at home gives it to five of their friends, you don't want each of those five people to get in. So we'd set it so the barcode can only be redeemed a single time. And we have various abilities to tie that into the dates and times when the events as well as just make it work anytime between certain dates and times. The access ticket module is pretty big, it works for Point Of Sale tickets. Imagine making a Facility Reservation and somebody bar somebody's barcode on their receipt is actually what opens the door to get into that facility on the date and time of the reservation. So we'll we'll we're going to have another topic. And it's probably going to be a one two punch kind of like this, where we'll talk about access tickets and access control in a RecChat. And then we'll talk about it in more of the configuration side in the following virtual symposium in the next couple of months or so here. So excellent questions. Really great engagement.
