How do you set up Donations so that you can take them over WebTrac Payments?
Answer
Set up a POS Service item to be sold online as a donation. Once the POS Service item is created in RecTrac, you can link it to the WebTrac Parameter Profile so that it is a valid donation on WebTrac. WebTrac is designed to handle donations in a special way.
Note: To sell donations online, you must be licensed to sell POS items online.
Detailed Steps
Create a Donations Service Item
- Open Service Item Management. Click Add, and give the item a Service Item Code. If a Donations Service Item already exists, you can use that.
- Enter a Short and Long Description.
- On the Core screen, ensure the Display On Web Setting option is set to "Yes."
- On the Fees tab, ensure you have a fee set to manual prompt and that the GL Code tied to it is the correct account for Donation Revenue.
- On the Questions tab, link any questions you might want to ask when taking donations.
Link the Donation Service Item to the WebTrac Parameter profile
- Search for and go to Profile Assignments.
- Find your WebTrac Parameter Profiles. Expand the group and select the desired profile. Click Update. (If there are multiple WebTrac Parameters profiles, select the correct interface you want to add the donation to.)
- Find the Donation List field. Open it and and select the POS Service Item you just created.
- Click Save and exit Profile Assignments.
Add the Donation as a Menu option to WebTrac.
- Search for and go to WebTrac Menu Management.
- Select the web menu and click Change.
- In the Available Fields column, search for a field named "Make a Donation."
- Use your mouse to drag and drop the "Make a Donation" to the Fields on Screen colum.
- Slot it appropriately into the order of the other fields.
- Click Done.
- Refresh the WebTrac page to see the updated changes.
