The Pass Management program allows you to add, update, delete, and clone Membership Passes and Daily Passes. The Pass Management program allows you to set up Pass Codes for your pools, recreation centers or parks, etc….
Pass Codes may be valid for a given time range ("regular" pass codes) or for a given number of visits ("punch pass" codes).
A Daily Pass is a Pass Code that you sell at a pass check-in site for entry to that facility just for the day.
Important Note: To process visits, passes must listed on the Visit profile.
- Daily Pass Codes need to be listed in the Daily Pass List field.
- All other Pass Codes need to be listed in the Valid Pass List field.

The Pass Code Management DataGrid lists all the Pass Codes currently established in your system you have Permissions to view. Scroll up/down to view the Pass Codes or scroll left/right to view additional details.
DataGrid column sort options allow you to customize the view as desired. Click here for a full description of RecTrac DataGrids.

Click Add Membership Pass Code to continue to the Pass Update screen to create a new Membership Pass Code. Membership Pass Codes may be valid for a given time range or for a given number of visits ("punch pass" codes).
The Add options you receive are determined by your Default Record Permissions (Permissions profile • Default Record Permissions group) and whether-or-not you have Default Records in your database for this Module.
Click Add Daily Pass Code to continue to the Pass Update screen to create a new Daily Pass Code. A Daily Pass is a Pass Code that you sell at a pass check-in site for entry to that facility just for the day. Daily Pass Codes are denoted on the Pass Management DataGrid by a check in the Daily Pass? column.
The Add options you receive are determined by your Default Record Permissions (Permissions profile • Default Record Permissions group) and whether-or-not you have Default Records in your database for this Module.
Highlight/select an existing record and click Change to continue to the Pass Update screen to update information for a Pass.
Highlight/select an existing record and click More • Delete to remove it from the database.
Note: Membership and financial information for the Pass Code must be purged.
Highlight/select an existing record and click Clone to continue to the File Maintenance Clone program to clone the selected Pass.
Note: This program does not export linked tables so Fees/Rules/Questions do not get exported; this exports only the Management record itself.
Click More • Bulk Change to continue to the Pass Bulk Change DataGrid. Bulk Change allows you to make field changes to multiple Passes at once.

Click More • Bulk Pass Print to continue to the Bulk Pass Print program where you can search for and print multiple passes at a time.Note: Access to this button is controlled via the Permissions profile: Buttons/Misc Permissions tab • PMPassMain_ButtonBulkPassPrint.
Click More • Membership Bulk Change to continue to the Membership Bulk Change program where you can change Pass Membership or Expiration Dates for passes as well as reset allowed visits.

Click More • Archive Past Memberships to continue to the Archive Records program where you can archive Membership records linked to Pass Codes if desired. Archiving records removes them from 'Active' status. By default Archived Records do not show in Purchase History and reporting DataGrids making those programs load faster during daily operations.
