The Team Update screens allow you to store and track information regarding the Teams in your Database both those currently linked to a League or those currently without a League. These screens may be accessed from numerous places within RecTrac/WebTrac (i.e. Household Update, League Update, Global Sales, etc…). Depending on your point of origin, fields may or may not be populated. All fields are updateable.
From the bottom of the screen….
Click Save to save your changes. You will return to the previous screen.
Click Cancel to return to the previous screen without saving your changes.
Click Previous or Next to continue to the next tab on this screen (i.e. If you are on the Core Settings screen, click Next to continue to the Team Members screen.).
To exit this program, click 'X' on the title bar. You will be returned to the Main Menu or the previous program.
League Team Update
Team Name (LSTeam_TeamName)
Enter the name of the Team in this field. The text you enter here will be used in all listings and reports for this Team.
DeleteTeam Colors (LSTeam_TeamColors)
Enter the Team Colors in this field, if desired. The text entered here can be printed on reports.
DeleteTeam ID (LSTeam_TeamID)
Accept the default entry or overwrite with another name, as needed. The name that appears in this field will be listed as the Primary Contact for this Team provided certain conditions are met. Refer to the Note below.
The default name that appears in this field is Primary Contact for the Household to which this Team is linked.
Notes: The following lists how the Primary Contact for a League Team is determined.
- If a player on the Team is flagged as the Primary Contact then that player's name will appear as the Primary Contact on all reports and other listings in both RecTrac and WebTrac. One (1) Team Member only may be flagged as the Primary Contact for the Team on the League Teams DataGrid.
- If no player on the Team is flagged as the Primary Contact on this DataGrid then the system will use the name listed in the Team Contact field in League Team Update if any as the Primary Contact for the Team.
- If no player is flagged as the Primary Contact on the League Team DataGrid and if the Team Contact field is empty in League Team Update then no name will display as Primary Contact for this Team in RecTrac or WebTrac.
Address 1 (LSTeam_Address1)
Enter the mailing address information for this Team, if desired. If preparing mailings for Leagues into which this Team is registered, the RecConnect program will use the address listed here should you opt to print Labels. The address listed here should be the Team contact that should be receiving those mailings.
DeleteAddress 2 (LSTeam_Address2)
Enter the mailing address information for this Team, if desired. If preparing mailings for Leagues into which this Team is registered, the RecConnect program will use the address listed here should you opt to print Labels. The address listed here should be the Team contact that should be receiving those mailings.

If preparing mailings for Leagues into which this Team is registered, the RecConnect program will use the address listed here should you opt to print Labels. The address listed here should be the Team contact that should be receiving those mailings.
DeleteEmail Address #1 (LSTeam_PrimaryEMail)
Enter the email address for the primary contact for this Team in this field. One (1) email address only is allowed here. This is the default email address to which League information emails will be sent for this Team, should you choose to send such emails. League information emails consist of, but are not limited to: Registration confirmation, schedules, schedule changes, etc…
The system will alert you if the address you enter seems invalid due to selected criterion, such as lack of an '@' symbol, lack of a valid extension (i.e. .com, .org, .edu, etc…), invalid characters, etc….

Enter an alternate email address in this field, if desired.

Click the Calendar icon to select this Family Member's date of birth.
DeleteGender (SAPERSON_Gender)
Expand the Drop-down list to select this Family Member's gender.
Gender Codes are maintained in System Code Maintenance. Type = Gender.
DeleteSchool Grade (SAPERSON_SchoolGrade)
Enter the Family Member's current grade in school, if applicable.
As a general rule, VSI recommends using the following values:
- 0.10 - Infants and toddlers (generally newborn children through age 2.99)
- 0.25 - Preschoolers (generally children aged 3.00 to 4.99)
- 0.50 - Kindergarteners (generally children aged 5.00 to 5.99)
- Whole numbers 1.00 through 12.00 - School grades 1st through 12th
- 0.00 - Family members who are no longer in school.
Grades do not advance automatically; they must be updated annually. You have two (2) options:
- Use the Grade Bump program to advance the grade of all applicable family members in your database in bulk. The Grade Bump program can be scheduled to run on an annual basis. Family members with no grade (0.00) are skipped.
- Update family member grades individually by overwriting the value in this field and saving your changes.
Primary Phone (SAPerson_PrimaryPhoneNumber)
Enter a phone number for this Family Member in this field. If the main phone number for this Family Member is the same as the Primary Phone Number on the household, you do not have to re-enter it here.
