3.1 PayTrac - Error when trying to Refund a PIN Debit transaction: "Invalid Transaction Status: Refund & Refund Swipe"
Problem
A few days ago, we did a PIN Debit transaction using PayTrac. Now we are trying to refund that transaction, but we are getting stopped with an error: Invalid Transaction Status: Refund & Refund swipe Card present sale.
Solution
Process the refund using the Manual Refund Payment code that Vermont Systems set up for you when onboarding you for PayTrac. You will need the customer's card information.
Pin Debit transactions follow a bit of a different refund process because it's physically tied to someone's bank and there are some different regulations around it.
- Same Day Refunds - You can refund the transaction (full amount or partial) without needing the customer's card if it is on the SAME day. Just choose the existing payment method on the refund screen and process as you normally would.
- Other than Same Day Refunds - If it is NOT on the same day, you need to use the Manual Refund Pay code that Vermont Systems set up for you. You'll need the customer's card to dip in the pin pad, or you can enter then number, expiration date, etc. manually on the pin pad. Once that is done, you can process the refund. The reason for this is that WorldPay doesn't hold the banking information from PIN Debit transactions after they've been included in a settlement batch.
This only applies to PIN Debit transactions in the PayTrac credit card interface.
