In this video, we're going to be going over how to set up coupons and RecTrac. So to do this, we have our coupon code management area so we can find that in our menu by searching coupon code management. And as you can see, I don't have any records in my data grid here, so I don't have any coupons in my database.

So I'm going to click add. And the goal here is for me to set up a 10% discount coupon. So I'm going to call my code 10%, you can call it whatever you like, and my coupon type in that case is going to be percentage and my amount is going to be ten. So that amount field is going to act as a percentage field.

Once you switch it to percent. If it was $10, that would just look like that. But this is going to be a percentage. And my description, I'll call it 10%. And now we get to this serialized coupons button, and this is kind of an important little setup toggle here of how you want it to work. So if you want to serialize coupons, you turn that on.

And basically what that's going to do is allow you to use the serial coupon button. I'll just show kind of real quick what it does, but it's basically for any situation where you want your coupons to be one time use only. So what you can do is click ADD and you can create a coupon code with a serial number as I'm so I'm just going to do o one.

So that's oh one. And actually I'll probably just do take out the 10%, so I'll clone it and we'll say, Oh, one comma and it's going to be a separate record after the comma. And how many individual one time use coupons you need to create is kind of determinate on how many codes we're putting in here. So if I want five of them, I'm going to clone five and I'm going to delete this one.

Since it's named differently. But basically these are going to be one time use only since the serialized, so when you're at the payment screen, you actually have to type in this serial number. So if I type in O one and I redeem it, this is going to switch to redeem and now I won't be able to use it again.

So if you don't use the serial coupons, you're going to be able to use that more than once. So in this case, I won't serialize them. One other thing to do if necessary is there is a rules tab, so for coupons rules, you'd really want to be doing things like maybe transaction date rules, like you can only use the coupon before or after a certain date or even on a certain date only or maybe a certain time.

Things like that that aren't related to a specific item, but more about the date or the time you can purchase. Or maybe how many times a family can use one of these coupons. But for this simple setup here, I'm not going to put a rule on there. And so that looks good to me. So I'm going to click Save.

And kind of the only other thing we really need to do before we start to be able to process is any fee that we want to be able to use this coupon for has to allow it. So basically you'd want to go to any item that you want to be able to use the coupon for and toggle on the coupon to be a method of payment for it, Pretty much.

So I'm going to say this bike lessons at Stratton here, I'm going to say this one is one we’ll use the coupon for so I'm going into my activity section. But it's really any item in the database that you want this coupon to be used or could be a pass, could be a facility, it could be an activity, really whatever you want them to be able to use it for.

So now I'm going to go to the fees tab and let's say the coupon can be used for this additional fee. So I'm going to click change and then advance fee changes where we need to go. So if you want the coupon to be used for kind of a large amount of fees in your database, it might be better to do a bulk change.

But if it's just maybe one or two items, it's it's easy to just go into the fee like I'm doing now. And under the payment settings, there's a coupon list. So if you type in the wild card value, which is just kind of an asterisk in that field, it's going to allow any coupon to be a method of payment.

But if you just want that one specific coupon, you can just select it here, save the record. And now when I go to buy that item, it allows me to apply the coupon. So we'll go over that quickly. On how to apply the coupon when you're in the payment screen. I'm going to save that record and now I'm going to go on to global sales and I'm just going to pick any household here and under my activity tab, this is the section I linked the coupon to the fee for.

Help me empty my card, actually. Now I'm going to add it to the cart and it's in the cart now, so I'll proceed on to the payment screen. So my total paid is 170. That's what I would be paying with obviously my coupons only 10%. So I still do need to pick a method of payment. It's not going to cover the whole thing.

And now I can click apply coupon right here and now I can pick my 10%. So if I was picking one of those serialized ones, that would be toggled and then I'd have to enter the individual serial number right here. So that's that oh one or oh two like I was showing before. But this one is not serialized, so I can just pick that 10% and we should see my fee adjust.

It was 170 and now we see it took 10% off that $20 fee, which I liked it too. So it reduced that to 168. So we can see our coupon worked in this scenario. So now I could process this and so that coupons is really just going to act as a discount and lower that fee.
