Problem
Can I combine two Facility Codes that represent a single facility? Id like to retain future reservations.
Solution
Merging Facility Codes is now possible through Code Conversion with RecTrac versions 3.1.06.17 (and later), although we strongly recommend contacting VSI support before processing.
Notes:
- You cannot undo the changes made by a merge.
- If there is a reservation in conflict (e.g., both facilities have identical reservations for Thursday at 2:00 PM on the same date), both reservations appear in the destination facility. After the merge, a report is produced that lists these conflicts, and you must manually correct them. If you are viewing reservations in the Facility Super Grid after the merge, only the source facility reservations show, but both are present.
- You can only merge two tree facilities when the parents are linked to the exact same children/siblings and in the exact same order.
- The merge-generated report lists conflicts occurring on today's date and forward.
Steps for Solution
- From the RecTrac main menu, go to Code Conversion.
- Select Facility as the Process Option and then enable Merge Records.

Next, you will choose the two facilities to merge. For Example, you have Facilities A and B. You want Facility B to contain all of the combined reservations.
- Afterward Facility A will cease to exist in the database.
- To continue with this example, you would choose Facility A as the Facility (the old facility code).
- Enter the code for Facility B as the New Facility (it cannot be chosen from a list).
- Use the 'i' and '?' Help icons for the additional field definitions as needed.

When you Process, RecTrac displays the following message:

Process Option: Facility
Old Code: Facility A
New Code: Facility B
Merge Records: Yes
NOTE: You have chosen to 'merge' this facility.
All future reservations will be converted and we will search for conflicts/produce a report if any are found.
It will be a manual process to deal with any conflicts after the conversion.
